Role: Executive Assistant (Purchasing/Supply Chain experience)
Location: West Lothian

Pertemps are looking to recruit Executive Support to join our West Lothian based client, a leading distributor and supply chain specialist

We are looking to speak with proactive and highly organised Executive Assistant to support our CEO. This hybrid role combines traditional executive support with responsibilities in purchasing and supply chain management. The ideal candidate will have a strong background in administrative support at the executive level, complemented by experience in procurement and supply chain functions.

The Role
Executive Support:
  • Provide comprehensive administrative assistance to the CEO, including complex diary management, travel arrangements, and meeting coordination.
  • Prepare, proofread, and manage correspondence, reports, and presentations.
  • Act as a liaison between the CEO and internal/external stakeholders, ensuring effective communication and follow-up.

Purchasing and Supply Chain Management:
  • Establish and maintain strong relationships with suppliers and manufacturers to negotiate favourable terms and ensure optimal service levels.
  • Monitor stock levels to meet consignment stock requirements, customer orders, and warehouse replenishment needs.
  • Collaborate with the Warehouse Manager to prevent overstocking and identify slow-moving inventory.
  • Oversee the company's contract database, ensuring all agreements are current and accessible.

About You:
  • Proven experience as an Executive Assistant or in a similar administrative role supporting senior executives.
  • Experience in purchasing, procurement, or supply chain management within a manufacturing or distribution environment.
  • Strong negotiation skills and familiarity with warehousing, stock handling, and rotation practices.
  • High level of computer literacy, including proficiency in Microsoft Office Suite and experience with stock management systems.
  • Exceptional organisational skills with meticulous attention to detail.
  • Ability to prioritise tasks effectively and operate with a high degree of autonomy.
  • Excellent interpersonal and communication skills, with a customer-centric approach.
  • Positive, results-driven attitude with a commitment to continuous improvement.
